Institute Secretariat (KÖTI)

The Institutional Secretariat is the administrative support unit responsible for assisting and executing the tasks of the institute director. An employee, endowed with secretarial management responsibilities, may be designated based on the proposal of the institute director to coordinate the work of the Secretariat.

The tasks of the Institutional Secretariat include:
a) assisting and coordinating the managerial activities of the institute director,
b) supporting the institute in matters related to educational administration,
c) assisting students affiliated with the institute in administrative matters, collaborating with academic departments,
d) contributing to the organization and implementation of approved institutional events, enrollment programs, participating in public relations tasks at the institute level, editing publications, institute newsletters, and managing community pages, including content creation and supervision,
e) maintaining communication with departments and other institutes, sharing information and coordinating the execution of tasks,
f) liaising with the University leadership, central organizational units, and student councils,
g) participating in the organization and coordination of admission procedures for both Hungarian and foreign-language programs,
h) maintaining records and administration for those requesting jubilee diplomas, issuing diplomas, and overseeing their distribution,
i) performing document management, administrative, and record-keeping tasks, managing the temporary archives,
j) keeping records of the members of bodies, their mandates, and coordinating the functioning of bodies, conducting elections,
k) ensuring the approval, procurement, and record-keeping of institute stamps,
l) preparing the meetings of the institutional council, including relevant submissions, as well as submissions to the Senate, coordinating the implementation of decisions, resolutions, and positions of the institutional council,
m) participating in the organization of discussions, meetings, and handling their administration,
n) obtaining the necessary data for operating the alumni system and performing related tasks.
